Your CRM is not a list of names. It is every call your company has made, every rate that was agreed, every reason a placement fell through. That history is what makes the next call worth taking — and it is the part most migrations quietly leave behind.
Consultants, client contacts, network partners and the companies they belong to — with the addresses an invoice is legally required to carry.
Calls, emails, meetings and notes, kept against the person they were about and dated as they happened. Not a bulk note saying “imported”.
Who is placed where, on what terms, at what margin — including the rate you pay and the rate the client pays, which most exports flatten into one number.
The files themselves, attached to the person, not dropped in a folder for somebody to re-file by hand.
What was billed, what was paid, and what a referral partner is still owed — so the ledger opens on day one with the same balance it closed on.
What each consultant can do and when they are free, so the bench is searchable the moment you sign in.
You are issued a private address for your data alone. It belongs to your agency, it expires on a date you know in advance, and it stops working the moment the move is done.
The first pass writes nothing. It reports what it would have created, what it matched to an existing record, and what it could not place — the last of those named individually, never as a count.
Nothing is written until you have read the rehearsal and agreed with it. When it runs for real, you get the same report again, of what actually landed.
Two people with the same surname at the same client are not the same person, and a system that decides otherwise has damaged a record you cannot easily repair. So a record that cannot be matched with confidence is not merged: it is handed back to you by name, and you decide.
The import writes nothing at all unless it is explicitly told to. The safe thing is what happens if somebody forgets a setting.
Accepted, matched to an existing record, or skipped — and if it was skipped, which row it was and why.
Issued to your agency alone, with an expiry set before it is handed over, and revocable at any point before that.
Hosted in the EU — Frankfurt and Ireland, under a signed AVV. Your records do not leave the jurisdiction they were collected in.
Most systems can produce a CSV or an API export, and most of them are messier than their owners expect. In the workshop we read yours — or a sample of it — and you get back a written reading: what it contains, what will carry across cleanly, and where a decision from you is needed. That is the first phase of the migration, and it is charged as one.
The price follows the size of the job: how many records, how many systems, how many years of history — and what state they are in. A single-seat CRM with 800 contacts is not the same work as four grown systems with twelve years of history and three spreadsheets beside them. After the workshop you get a fixed price, not an estimate.
Doing it yourself costs nothing and is fully documented. What is paid for is our time, never the access. Sold to businesses only; all prices are net and exclude statutory VAT.
